Steering Committee April 24, 2003
The meeting was convened at the Louttit Library (WGR) by Chairperson Susan Reed at 9:50 AM. Those in attendance included:

The minutes of the previous Steering meeting were unanimously approved.
Guest John Fallon of tutor.com presented a brochure and Ginny had a handout concerning
tutor.com. He then spoke about his company and their services. It provides live tutors online to help children with schoolwork. Rep. Patrick Kennedy has put in a $200K appropriation request for statewide access to tutor.com in all public libraries, some community centers and some schools in RI. RILA is supporting it and has written to Kennedy. We need letters of support to Reed and Kennedy well before the Oct budget is enacted.
John Fallon will provide a template letter. There will a demo site provided.

EXECUTIVE DIRECTOR'S REPORT:
Ginny distributed a draft of a handout concerning CLAN admin's response should there be an information request for patron records be made by law enforcement. A copy will be sent to all directors and it will be discussed at the May membership meeting.
Regarding non-CLAN LORI libraries-Bill Schneller will be working on it soon. If need be we will enlist the help of other ILL librarians and try to have a report for the September CLAN meeting.
Regarding In Reach:
In Reach is Innovative's software that provides user interface among various library system catalogs. HELIN and Brown are using it, and we are looking into adding CLAN. Patrons might be able to use it to request books from other systems online. It seems doable-and would be ideal to add during the migration to Horizon.
Peter, Ginny, Rick and Cindy will be meeting with Bob Aspri on 5/15 to talk about it, discuss costs, etc.
RILINK might be able to join, too, if their software allows.
Doug Pearce explained WAR's situation with an employee who is accused of stealing someone's identity. This led to Susan, Peter and Ginny deciding to turn off the Social Security # field in patron registration until CLAN can decide if it is appropriate to have in the system.
***MOTION by John Carney: Recommend to membership that CLAN develop and adopt a policy concerning acceptable use of the database by employees and the entire CLAN database privacy issue, including the expectation of privacy.

SYSTEMS AND NETWORK ADMINISTRATOR'S REPORT:
Peter discussed possible password changes for our system. There are 2 passwords:
1. initial UNIX password to logon
2. DYNIX login and password
We will change #1 (Unix).
Peter proposes we use the same passwords that Rick is creating for the new email system.
We will create them, then pick a time and date and put them into effect.
Then we may want to change them every 6 months.
We can also change anyone's password if it is requested.
Paul asked about having automatic passwords, since if they are not automatic staff write them down and post them near workstations-NOT a good idea.
We are getting an upgrade for Packet Shaper that is compression software and will effectively double the bandwidth. It is free for libraries.
Will cost CLAN about $22K less than it should/could cost!
TECHNICAL SUPPORT SPECIALIST'S REPORT:
Rick has made training disks for Horizon circ and cataloging. Each library will receive a set.
The new email system Rick will distribute passwords and provide a live demo. The system is accessed through Outlook Web Access, or OWA.
OWA will be the only client CLAN will support-use others at your own risk. From home, OWA is the ONLY way to get in.
Training will be provided.
There are no training disks for Acquisitions-we'll see if any are planned.
LORI REPRESENTATIVE'S REPORT:
No LORI reps present. Anne Parent says the last meeting was cancelled. They are looking at the ILL code and the virtual catalog.
OLIS REPRESENTATIVE'S REPORT:
Anne Parent reports that there is a new LSTA funding bill, S888, and Reed and Kennedy have signed on. (handout provided)
If LSTA went through as is it would mean $500K more for RI.
RI library community reps to Library Legislative Day in D.C. are:
Mark McKenney, Joan Ress-Reeves, Rose Ellen Reynolds, Dale Thompson, De Johnson, David Macksam, Anne Parent, Suzanne Costa and Diane Hogan.
Gates Foundation training being provided in Seattle to OLIS staff and PRO staff. $400K in computers given to RI by Gates Foundation.
Dept. of Admin has a reorganization team in place.
CIO position has been posted in the Pro Jo under "MIS"-70 applications have been received so far.
LORI's old URL is going away.

Susan Reed reports a meeting with Rep. Sherlock and recommends we contact our own reps for support.
